5 Signs Your Quoting Process Is Costing You Jobs

In the trades and in catering alike, the fastest credible quote wins far more often than the cheapest one. Customers read speed as competence. Here are the five signs your quoting process is quietly handing jobs to whoever answers first.

1. Quotes go out days after the site visit

Every day between the visit and the quote, your close rate drops. The customer called three shops; the first number in their inbox frames the decision. If quoting takes an evening at the kitchen table, that's a process problem, not a diligence virtue.

2. Pricing lives in one person's head

If only the owner can price a job, the owner is the bottleneck for every dollar of revenue. Standard rates for standard work — written down — let anyone senior produce a quote that lands within a few percent of what you'd have said anyway.

3. Every quote is built from scratch

Most shops sell the same ten jobs over and over with variations. Templates with your real costs baked in turn an hour of quoting into ten minutes — and stop the arithmetic slips that turn a decent job into a break-even one.

4. You don't know your margin until the job is done

A quote should tell you the expected profit before you send it. If you price by feel, use our job pricing calculator to sanity-check the next few — materials, true labor cost, overhead, and margin, stacked the way the math actually works.

5. Nobody follows up

A quote with no follow-up is a coin flip you paid to enter. One call two days after sending — "any questions on the numbers?" — closes a meaningful percentage of quotes that would otherwise die in an inbox. Put it on a calendar. Make it someone's job.

None of these fixes require new software. They require deciding that quoting is a process, not an art project. The shops that treat it that way win work from the ones that don't.
